The American Veterinary Medical Association (AVMA), the national nonprofit association established in 1863 that represents more than 99,500 veterinarians working in private and corporate practice, government, industry, academia, and uniformed services, is seeking an Administrative Assistant to join our Education and Research team, located at our Headquarters office in Schaumburg, Illinois – a northwest suburb of Chicago. The AVMA’s mission is to lead the profession by advocating for its members and advancing the science and practice of veterinary medicine to improve animal and human health.
Under the general direction of the Division Director, the Administrative Assistant provides administrative support to the Director, divisional staff, and governance entities, including the American Board of Veterinary Specialties (ABVS) and the Veterinary Specialty Organizational Committee (VSOC). This position will also be responsible for writing, editing, compiling, organizing, and maintaining records of correspondence, special reports, studies, graphs, surveys, and miscellaneous items for the Division, as assigned.

- Bachelor’s degree in English or a related field; or equivalent work experience
- Minimum of 3 years of administrative experience is required, association experience is preferred
- Strong writing skills, familiarity with scientific and/or medical terminology is a plus
- Excellent interpersonal and communication skills (written and verbal), with the ability to interact with all levels of the organization, including volunteer leadership and external contacts
- Proficient with MS Office applications and adaptable to various communication and work-enhancement platforms, including Zoom and Microsoft Teams
- Familiarity with accreditation management software, knowledge of Armature is a plus
- Highly organized, with good attention to detail
- Ability to work independently and as part of a team with minimal supervision
- Flexibility to work outside of normal business hours, as needed
